Personal information is information or opinion that personally identifies you, such as your name, email address, postcode, electorate information, professional affiliations, credentials, and any other information you choose to provide to us.

Collecting personal information

We may collect personal information about you from a variety of sources including:

(a) directly from you when you sign open letters or petitions, create an account, subscribe to our mailing list, submit testimonials or comments, use our advocacy tools to draft communications, contact us directly, or participate in surveys or research; (b) automatically when you visit our websites, including your IP address and general location, browser type and version, device information, pages visited and time spent on pages, referring website, and click and navigation patterns; and (c) through your use of our advocacy tools, including draft communications you create, recipients you select (e.g., politicians, government bodies), and your advocacy history and engagement patterns.

Why we collect personal information and how we use it

We collect personal information about you to provide you with our services and for related purposes such as:

(a) facilitating your participation in advocacy campaigns; (b) sending you updates about campaigns and opportunities (with your consent); (c) providing and improving our services; (d) generating analytics and insights about campaign effectiveness; (e) responding to your inquiries and providing support; (f) preventing fraud, abuse, and security issues; (g) complying with legal obligations; and (h) general business management, internal accounting and administration purposes.

If you do not provide us with your personal information, we may not be able to provide you with our services. Wherever possible, we provide anonymous options such as non-logged-in access and publicly available information that doesn't require an account.

We use third-party services to help you draft advocacy communications. These services process the information you provide to generate personalised content. You are responsible for reviewing and approving all generated content before sending it.

Online activity and social media

We may use tools like Google Analytics, Posthog, and campaign tracking pixels from Meta/Facebook, X/Twitter, LinkedIn, and Reddit to track visits to our website, and use this information to track the effectiveness of our website, like visits, length of visit, viewed pages and the technical capabilities of our visitors. While this data is mostly anonymous, sometimes we will connect it to you, for instance in personalising a webpage, or prefilling a form with your details.

We may also use tools that tell us when a computer or device has visited or accessed our content, and allow us to tailor advertising both on our websites and through advertising networks on other websites based on your visits or behaviour through cookies and similar technologies on your device. You can control how cookies are used and for what through the settings on your chosen browser.

Disclosure of personal information

Consistent with the Privacy Act 1988 (Cth) and this Privacy Policy, we may use or disclose your personal information for the specific purpose for which you shared it with us, or for a directly related secondary purpose you would reasonably expect.

We may share your personal information:

(a) when you sign an open letter or petition, your name and relevant credentials may be displayed publicly on our website and in advocacy materials, unless you specifically opt out where that option is available; (b) with certain service providers including Anthropic (content generation), Google (email and productivity tools), Brevo (email services), Neon (database), Vercel (web hosting), and Squarespace (some websites). These providers process your information on our behalf and are contractually obligated to protect your data; (c) when you use our advocacy tools to send communications to politicians, government bodies, or media outlets. You are responsible for sending these communications yourself and we do not automatically share your information with these entities; (d) if we are required or authorised by law to do so, or in response to valid legal processes, or to protect the rights, property, or safety of Good Ancestors Policy, our users, or others; and (e) with any company related to us.

When we share information with these organisations, we do so in accordance with this Privacy Policy. These organisations are covered by privacy rules that prevent them from keeping or using this information for any other purpose. Other than that, we do not generally give your personal information to anyone else unless you have given us your consent.

International data transfers

Some of our service providers are located outside Australia (primarily in the United States and Europe). When we transfer your information internationally, we ensure appropriate safeguards are in place through standard contractual clauses, Privacy Shield frameworks (where applicable), and vendor privacy certifications. We prioritise Australian servers and service providers when available to minimise international transfers.

Marketing

We use explicit opt-in for email marketing communications. When you subscribe to our mailing list or sign a letter with the option to receive updates, you are consenting to receive advocacy updates and campaign information.

We retain your personal information only for as long as necessary to fulfil the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. If we no longer need to use your personal information, we will take reasonable steps to destroy or permanently de-identify it. We do not commit to specific retention periods as these vary based on the nature of the information and legal requirements.
